Adding Notes to Files

Keep your own notes on any file you've uploaded.

Why Add Notes?

A note is a short message you attach to a file you've uploaded. It's for your own records: a quick reminder of what the file is and why you sent it, especially anything that isn't obvious from the file name.

  • Which unit or household the file applies to, if it isn't in the file name
  • That a file replaces an earlier upload, and why
  • Which files you sent together

Staff may not review notes. The note window says so too: anything needed for the review should be included in the uploaded file itself. If you need something from our team, open a support ticket, or upload a corrected file.

Adding a Note

Find the File on the Dashboard

Sign in to the Client Dashboard and scroll to the Uploaded Files card. Use search or the filters to find the file (the Checking on Files tutorial covers them), then click More on its row. The file's options open right below the row.

Click Add Note

Click Add Note (it says Edit Note if the file already has one). The note window opens and shows which file the note is for.

Know What Notes Are For

The note window reminds you that staff may not review these notes. Keep anything the review needs in the uploaded file itself, and use a support ticket for questions or requests.

Write and Save the Note

Keep it short and specific: which unit or household it covers, and what makes this file different. Then click Save Note. The window closes and the note is saved with the file.

Example: "Unit 7B. This replaces the statement uploaded 9/10, which was missing page 2."
Example: "Unit 7B rent ledger. The rent changed mid-year; the new lease is on pages 4 and 5."

Find It Later

The button on the file now says Edit Note: click it any time to change the note or clear it. Your note is also listed under Public Notes when you click Details (on the File Details & Notes tab), and the Timeline tab records when it was added.

Writing Useful Notes

Be Specific

Mention unit names, dates, or page numbers so the note still makes sense months later.

Lead With the Most Important Point

Put the main point in the first sentence and keep the rest short.

Keep It Current

Edit the note when circumstances change, and clear it when it's no longer accurate.

Skip the Sensitive Details

Don't put SSNs, passwords, or other sensitive information in notes. Refer to the document instead.

Troubleshooting

I don't see an Add Note option

Click More on the file's row in Uploaded Files. Add Note (or Edit Note) is one of the options that open below the row. Read Only users can't save notes; if that applies to you, ask a Manager for the property to change your permission level.

My note didn't save

Click More, then Details, and look under Public Notes: saved notes appear there. If your note isn't listed, try again with a shorter message. If the save button keeps failing, open a support ticket and we'll look into it.

Will the reviewer see my note?

Don't count on it. Staff may not review notes, so anything the review needs should be in the uploaded file itself. For questions or requests, open a support ticket and mention the file name.
